HVAC past customer reactivation: win back the customers you already earned.

Your customer list is full of homeowners who called once, liked the work, and never heard from you again. Spur turns that list into a reactivation campaign: a personal card that mentions their last visit and their system's age, mailed to everyone you haven't seen in 18 months, with a scan alert when they're ready to book.

Customers forget who fixed it

Two years after a repair, most homeowners couldn't name the company. When something breaks, they search and call a stranger.

AI draft for Linda M. · 12904 W 121st Ter

YOUR AC WAS 11 YEARS OLD WHEN WE LAST VISITED.

Hi Linda, in June 2024 we replaced the capacitor on your air conditioner. Your system is now about 13 years old, which is when a yearly check starts to make a real difference in how long it lasts.

As a returning customer, you can book a $69 tune-up. We'll look at everything we checked last time, test the new capacitor, and tell you honestly how the system is holding up.

Scan the code to pick a time, or call us. We'd be glad to see you again.

How to win back lapsed HVAC customers

Every HVAC company has a list of customers who called once and never again. They chose you, paid you, and in most cases were happy with the work. They didn't leave. They forgot. When their system acts up two years later, they search online and call whoever shows up, often a company that paid for the click. Reactivation marketing is the cheapest way to fix that, because you're reaching people who already trust you.

Start by segmenting the list. Customers with a repair or tune-up 18 to 36 months ago are the warmest. Customers you installed a system for five or more years ago are due for maintenance and may be past a labor warranty. Customers with a no-heat or no-cool repair on an older system are replacement candidates. Each segment deserves its own message. Remove anyone on a maintenance plan, anyone who has sold the house (check that the owner on record still matches), and anyone who asked not to be contacted.

Make it personal. A reactivation card works because it references something only you know: the date of the last visit, what you fixed, and how old the system is now. "We replaced your capacitor in June 2024" is far more persuasive than "We miss you!" It reminds the customer who you are and why they called you the first time.

Offer a returning-customer rate on a tune-up or check, and put a maintenance plan offer on the same card so the reactivated customer doesn't lapse again. Automate the trigger so every customer who passes 18 months without a visit gets the card without anyone building a list.

If you follow up by text or email, check consent first. Under the Telephone Consumer Protection Act, marketing texts generally require the customer's prior express written consent, and commercial email must follow CAN-SPAM rules, including a working opt-out. Postcards don't carry those consent requirements, which is one reason mail is the safest first touch for a lapsed list.

9×return on one reactivation campaign plus a year of Spur Team

Your past customers are your cheapest new jobs.

  • Spur Team: $588/yr, plus 600 lapsed customers × 2 cards = 1,200 postcards at $0.94 = $1,128
  • If 8% rebook: 48 tune-ups at $149 = $7,152, and one becomes a $9,000 replacement
  • $16,152 from $1,716 of software and postage = 9×

Example math. Reactivation rates depend on how long ago customers were served and how you served them. Run your own numbers →

HVAC customer reactivation questions

How do I win back old HVAC customers?

Mail a personal card that references their last visit and how old their system is now, with a returning-customer offer and a maintenance plan option. Trigger it automatically when a customer passes 18 months without a visit.

Can I upload my customer list from ServiceTitan or Housecall Pro?

Yes. Export a CSV with name, address, last visit date, and job type from any field service software, and Spur matches each record to the property.

How long before a customer counts as lapsed?

For HVAC, 18 months without a visit is a good default, since it means they skipped at least one full heating and cooling cycle. Adjust by segment: install customers might get a five-year check-in instead.

Can I text my past customers?

Only if you have the consent the law requires. Marketing texts generally need prior express written consent under the TCPA. Mail has no such requirement, so it's the safest first touch.

What if the customer has moved?

Check the current owner on record for each property in Spur before you mail. If the home has sold, send a new-homeowner welcome card to the buyer instead.
