You know when each tank was pumped, but nobody has time to look through the files each month.
Septic play · Pumping reminder program

The problem
A paper file doesn't call anyone.
After four years, the owner can't recall who pumped last, and the next call goes to whoever turns up first.
Calling or mailing by hand is a job that gets dropped in the busy season.
How it works
From list to mailbox in one workflow.
Five steps from a paper file to a reminder cycle that runs itself.

Hi Ruth,
We pumped your septic tank in March 2022. Most household tanks need pumping every three to five years, so you're coming up on the window, and pumping on schedule is the best protection for a drain field.
If you'd like, pick a date below. We'll take care of everything, and we'll send you a card when the next one is due.

How to build a reliable septic reminder cycle
A septic company that sends reminders turns one-off jobs into a recurring base. Each customer is a job on a known cycle, and the question is only who they call when it comes due. A card that arrives at the right moment, from the company that did the last pumping, usually wins.
Use real dates. The strongest reminder says 'we pumped your tank in March 2022.' It is personal, it proves you keep records, and it reminds the owner that you are the pumper they used. Keep last-service dates clean in your file, because the program depends on them.
Pick an interval. Most household tanks need pumping every three to five years, but a larger family, a garbage disposal, or an older system may need it sooner. Set a default of three and a half or four years, and adjust for customers whose tank size or use is different.
Mail before the due date, not after. A card three to six months ahead gives the owner time to book, and gives your dispatcher time to fill route days. Follow with a second card if there is no scan, and a call to the customers who have not booked after a year.
Combine with inspection. Pair the reminder with a baffle and effluent filter check, and mention it on the card. Customers with older systems get honest advice, and you find repair jobs early.
Keep the list fresh. Update each record after service so the next date resets. Remove customers who have sold, and add the new owner to your new-buyer program. A clean list is what keeps the reminders accurate year after year.
Track the program's health with two numbers: the share of due customers who book within 60 days of the reminder, and the share of customers who have gone more than five years without service. If the first falls or the second rises, check your addresses and your reminder timing before you change the offer.
Every reminder is a repeat job you already earned.
- Spur Team: $49/mo billed annually = $588/yr
- ~80 reminders a year at $0.94 each = $75
- 30 booked pumpings (~$450 each) ≈ $13,500
